Fulfillment Functional Committee update (Cathe via email):

  • The committee reviewed the list of nominees that had not been chosen this year to participate. In the interest of getting new members/campuses involved, we would like to invite Jaime Serrano from Cal Poly Pomona to join the FFC.  Carlos said he would contact the Interim Dean of Pomona to see if Jaime is still interested.
  • We will hold our first Fulfillment Open Forum on Tuesday, 9/25/18. The invitation and agenda have been sent out to the Access Services listserv. We plan to introduce the new committee members, do an Alma inventory/shelf reading demo, as well as an Analytics training demo, and solicit input for goals and future training needs.
  • Our committee has been working on goals and ideas for this year that align with the CSU Libraries Strategic Plan. I hope to be ready to present our ideas at the next Steering Committee meeting.

Assessment & Analytics:

  • Welcomed new member, Peggy Lau from East Bay
  • Campus usage data logins captured, collated, distributed
  • NZ Training to happen at SoCal Tech Services meeting
  • Taskforce started for SRU searching
      • Enriches Analytics data for more useful reports for weeding and collection analysis
  • Taskforce started for Collection Development dashboard
  • Work continues on Dean’s Dashboard
  • Looking at Benchmark Analytics feature


Acquisitions & ERM:

  • We’ve started working on a training manual for new staff – new to the CSU system and/or new to Alma/Primo.  It will be posted to the wiki as soon as we get it a little more refined. There’s not much information in it yet.
  • Jessica, Christine, Wendy, and Kirstie are working on a list of topics and ideas for the ERM enhancement phone call with Dana at ExLibris on Oct. 2.
  • Upcoming Acq/ERM presentations:
    • Sept. 27 TS Open Forum – Christine will present in response to a question we’d received from a CSU staff member.
    • Oct. 12 SoCal Technical Services Meeting
    • Kirstie will present during one of the ERM sessions.
    • Kelly Velasco (CSULB) will present on our Peoplesoft Finance Integration setup.
  • Lynne Jones left our committee since she is taking another job. We will review the list of alternative candidates and contact Carlos once we decide on a new member

Discovery:


Resource Management:

  • Committee is working on the creation of a Training Manual to serve as a guide to train staff. Manual will cross-reference policies, procedures and best practices adopted.
  • Committee will start creating a number of “How-to guides…” to provide specific step-by-step instructions on various procedures for resource management. These quick guides will supplement the training manual. 
  • NACO Training is underway.
  • Discussion of priorities
    • Reconvene Authorities Task Force to revisit authority work in a consortial environment and explore the use of some of the functionality in Alma in support of authority work (e.g., Link BIB headings).
    • Explore potential impact of the upcoming new Alma Metadata Editor to work and workflows.
    • Explore and/or request enhancements to functionality in support of workflow efficiencies (e.g., creation of holdings & item records at the point of exporting records from OCLC, etc.)
  • TS Open Forums continue to be held twice a month as a tool to disseminate information, updates, discuss policies and procedures, and provide training and presentations in all areas of technical services.
  • Upcoming CSU SoCal TS Meeting on October 12, 2018, at CSU Northridge. Program will include presentations across functional areas, including a training session on NZ Analytics, and drop-in and networking sessions.


Resource Sharing:

  • Resource Sharing is working on an error reporting system for Tricor issues. This will be used to see how often libraries have shipping issues. Currently beta testing the alert system to notify our committee when the form is filled out.
  • Gathering information for the wiki for libraries to refer to. Currently making a list of libraries that accept replacement copies for lost loans and their preferred workflow for those copies.
  • Preparing to test an optional new duplicates request function released in the October Alma update.
  • Gathering yearly statistics to measure CSU+ and the state of all Resource Sharing in the CSU. Data gathered will include data from ILLiad and may include information from Link+ and Circuit where available. Data is planned to be shown in a visual format, such as an infographic, to improve readability.

Relevancy Task Force

  • Dave will visit the with Acquisitions & ERM and the Resource Management committees to give them a brief demo of the relevancy issues that the Discovery Team wants to address. Then, we will seek participation from those committees in the Task Force.


Resource Sharing Request Task Force

Dave is looking for representation from the Fulfillment and Resource Sharing task forces to represent the user's perspective.

  • Chris will identify a representative from Resource Sharing
  • Cathe will identify a representative from Fulfillment - Dave will contact her.

John explained that COLD will consider a Shared Print proposal at its December meeting. The initial goal of shared print is to make sure that we preserve titles currently in the CSU collective collections, without having too much duplication. Currently, two options are being evaluated: going with a CSU plan or joining with SCELC's shared print program. One factor to consider is whether we need to use GreenGlass (from OCLC) for collection analysis or if we can use Alma Analytics.

Nikki explains that Alma Analytics will work for any data about the books in the CSU system. But we can't use it to compare our holdings with those available at non-CSU libraries. John will share this info with the Shared Print (SPIRIT) Task force.

Carlos initiated a discussion about shared collection development. This is next step beyond shared preservation in which libraries coordinate their acquisitions to insure broad coverage of the literature without extensive duplication. Some ideas that came up in the discussion:

  • Developing a shared campus in Alma where books would belong to all of the libraries,
  • Floating collections – Carlos will contact  Ann Roll about Fullerton's experiment with floating collections
  • UC Share Print Program – Luiz will share documents and contact info about this program with Carlos and John
  • John thinks that the idea should be discussed with COLD also
