Anonymization


      • From the committee members present, Christine’s campus anonymized patron history, and Jamie’s and Kim’s do not. 
      • Mallory discussed that anonymization is a straightforward process, and having the item history available can be useful when students forget to write down the name of materials, etc.
      • Demonstrate at the Open Forum. Jamie suggested a very simple demo format of this tool, to put the word out that this option is available.
      • Christine mentioned that her institution doesn’t have everything linked to statistical categories, but it hasn’t been an issue to this point. Anonymization only removes patron name and ID, and is updated once a month possibly? The data pulled for reports should not be affected.
      • Kevin asked what’s a must in anonymized categories to have for reporting. Does anyone have anything specific that would be hindered if we anonymized.
      • Jamie confirmed that it just removes the link to the patron
      • Kevin suggested talking to Mallory at the next meeting about the process of anonymization

Letter Templates

    

    • Kevin showed the template for “interested in”, demonstrated how to make changes in the template. Changes can be viewed as soon as they’re saved.
    • In discussion about having this as a topic at the next Open Forum, Kevin asked the group if there are times when you want to send a letter, but want to send it only to certain categories, etc.? if, then statements to only send to certain groups, certain situations.
    • Jamie gave an example of wanting an if/then statement for ILLiad books that are checked out in system and given generic due dates, then updated later. Doesn’t want the ILLiad book included on person’s receipt, it will be updated later.
    • Jamie: wants to have only the name of patron listed, not the address. Kevin and Christine will look into this
    • Jamie: Loan receipt, is it possible to reorder the included table or include more information (such as a barcode or call number).
    • Kevin asked does anyone customize their Reserves letters. Anything special that can/should be put in?
    • Kelly Ann mentioned that CSUSM has barcodes listed in the loan letters We currently just use the same loan letter with the time included in the due date

Kevin asked that everyone in the group send any ideas/thoughts that they have for this to include in the Open Forum. Would like to work on letters during the year and suggest additional enhancements

Steering Committee priorities

    • The group reviewed the list of priorities put forth by the Steering Committee, and decided what would we like to prioritize?  
    • Kevin suggestions: Course Reserves and an Environmental Scan
    • Jamie: ULMS Policies, it affects every functional group
    • Kim: prioritize future system wide directions of COLD
    • Kevin: agreed to all, and it would be good to know what COLD is prioritizing. We should make sure that we’re reading the COLD minutes to see what we are working on. If there is anything we want brought up with the steering committee, let Kevin know.

Update on Course Reserves

  • Kevin: is interviewing Northridge, SBO on 9/20. Mallory suggested other questions.
  • Kelly: hasn’t been able to schedule any additional interviews.
  • Kevin says the conversation “floats” around all of the interview topics. Jamie suggested simplifying the questions a bit, since terminology may be different on each campus. In a couple months, there should be a good picture of what is going on across the system, and best practices/recommendations can be made.
  • If we have other suggestions for the questions, let Kevin/Kelly Ann know

Other topics

  • Kim: user roles are expired and is causing problems. It is possible to run a report from the shared file to look for all of these and repair them all. Kevin mentioned that this happened a lot in the past, and may be happening with other campuses, he’ll investigate. Campuses may not be updating as often as we think.
  • Jamie: expiration when scan ID: patron is expired; expiration when scanning item: user role expired
