Policy review | Chris | - Reviewed the updated page that will be sent to the coordinating committee for review prior to COLD.
- Cost proposal for media shipping boxes
|
Request expiration | Mallory | - Currently requests are configured to never expire. We should probably remedy that as we have a policy that states they should move on from an institution after 2 days of inactivity.
- There is no configuration that allows for requests to expire at variable intervals (ie not including weekends or holidays in the expiration days) so we will need to increase the number of days to account for these scenarios
- Configuring the expiration at 4 days should cover weekend and holiday ILL department closures
|
Open meeting | Mallory | We should have another one and try to make it a monthly occurance Next one on February 23. What do we want to cover? - distributing best practices and new policies
- open forum - bring your questions
- send out an e-mail asking people what they want to be trained on
- Stacy will draft email to send out to people soliciting content
Potential training topics: - Lost items
- unusual statuses - what do we do with those?
|
topics for ulms summer training | Chris | - everyone come up with one idea and bring it to next week's meeting
|
analytics | Mallory | Mallory showed the current issues she's wrestling with in creating csu+ stats - "num of requests" count in borrowing AND lending is not a reliable indicator of actual items moving from campus to campus
- Have figured out a suitable substitute in borrowing, however a reliable lendint number remains elusive
- she's working on this and knows it's a priority. will update everyone with progress when there is any to report.

The (random) rota |
| - people seem to be curious about how the rota is working out. some campuses definitely feel like they are borrowing much more than they lend and wonder if the rota is a contributing factor to this
- some institutions were experiencing higher workloads shortly after go live and wondered if the rota could be altered to get their workload back down to manageable levels.
- It seems, based on initial investigations into rota config, that there isn't room to retain a random rota and pull some those institutions out and place them at the bottom so they are consulted after all the other institutions in the random rota. Making a change to put specific institutions at the bottom would require a larger overhaul of the rota that our group isn't ready to do quite yet.
- are institutions that were having issues in the beginning still experiencing some burnout or are they more comfortable now that we are more established in our new system?
- Rota Enhancement Survey was sent out in October - what were the results?
- Nothing significant sticks out. Didn't get many respondents so the data is not comprehensive
- Chris will reach out to the campuses who expressed initial concern to see how they are doing now.

Hold shelf expiration date policy | Chris | SLO is interested in changing the best practice recommendation for hold shelf expiration from 7 days to 10 days People seem to be on board with this idea. Since you cannot create a separate expiration for csu+ materials people need to make sure their circ department is part of this process/decision as well. |
