November - December 2023 ULMS Update

Chancellor’s Office

  • CO staff presented the Rapido evaluation to COLD on December 7, 2023. Thank you to all the Deans that reviewed the report ahead of time and all the staff and faculty that contributed to the report. A straw poll was taken at the meeting with an official vote planned for February 2024 COLD meeting at CSU East Bay;

  • CO staff now have access to all Salesforce cases across the CSU so we can see trends, help clarify and escalate cases to solve problems more quickly, and we can open cases at the campus level so everyone at that particular campus can see them. We encourage staff to open their own cases to solve problems and answer questions more quickly but the CO is always here to help with advisement and escalation;

  • CO staff (Christina, Chris Lee, and Jessica) have returned to monthly meetings with Ex Libris support management to discuss troublesome Salesforce cases;

  • The Systemwide Digital Library Services (SDLS) held strategic planning meetings in November and December 2023 to help inform the future of the ULMS.

ELUNA

 

  • The ELUNA Alma Consortial Functional Group (ACFG) has been named the Consortial Community of Practice (CCOP); Christina Hennessey was named the liaison to the Alma Working Group from CCOP in December 2023.

  • Proposals for the ELUNA Conference in Minneapolis, Minnesota in May 2024 are due January 10, 2024.

  • ELUNA Learns 2024 sessions are now free to register for all CSU staff & faculty since we are consortial members. January 17 session is on AI, January 24 session is on Current Trends.

  • The 2024 enhancement process for ELUNA and Ex Libris products will be starting soon. Enhancement submission for Alma and Primo products closes on January 13, 2024 so submit your ideas before then. Voting will start in March 2024. More information available at this thread on ALMA-L

  • ELUNA Primo Working Group is now maintaining an updated list of Primo VE sites, including all the CSU sites. You may find this useful in your Primo testing.

 Cross-functional section

  • The annual Ex Libris support satisfaction survey will be coming soon for all CSU library staff that work with Ex Libris products. The survey will be combined this year across the functional groups, so only one survey instead of six surveys. Please fill out this survey when you receive it so we can inform Ex Libris of needed improvements.

  • As the ULMS becomes more complicated with important issues crossing multiple functional areas, we are forming a new cross-functional group with the working name “Data Issues Task Force” (final name TBD). Two open forums were held (recordings: Nov 30, 2023 and Dec 5, 2023) to discuss many of the metadata issues that were raised with Ex Libris in the Spring 2023 support meetings. Other cross-functional groups may come out of these discussions in relation to FRBR, deduplication, and user interface improvements. SJSU’s Jill Strykowski will lead this group and more information will be coming in mid-January 2024.

  • The Analytics and Resource Sharing groups have worked together to improve the Rapido dashboard to help the CSU understand our statistics for informing the Rapido evaluation.

Assessment & Analytics

  • Analytics group has started their Open forums with a combination of planned presentations and time for open questions about Analytics:

November 2, 2023: covered the new Analytics UI and showcased Sacramento State’s course reserves dashboard.

December 7, 2023: introduction to beginning Analytics resources; accessing Network Zone Reports from your Institution Zone; A look inside the Rapido Dashboard.

The next open forum is scheduled for February 8, 2024 with topics to come.

  • Support for new Analytics user interface;

  • Continue to clean and reorganize Analytics folders in the Network Zone and ‘CalState’ areas to make it easier for library staff to find the reports they need, including formalizing an Analytics management policy across the CSU;

  • Support in updating the ULMS ACRL/IPEDS Analytics due to changes in ACRL reporting for 2022-2023;

  • Continue to provide Analytics examples to Ex Libris of reports that time out in the NZ;

  • Stacie Jensen, the Vice-Chair of this group, is moving into a new role at Sacramento State and will be stepping down from this committee. Thank you, Stacie, for your service in the ULMS over the last several years!

Resource Management

  • Resource Management will start their own monthly office hours in January 2024;

  • Working on FRBR/de-duplication issues with Discovery;

  • Wiki documentation cleanup continues;

  • The group is looking into what we can learn and try in relation to CSU-wide cataloging statistics, especially in relation to time measurement;

  • Linked Data Task Force (LDTF)

o   Presented on Wikidata Building Project at November 16, 2023 TS Open Forum

o   Group is recruiting for more members

o   Asking for help with access to FacilitiesLink at more campuses to support Wikidata Building Project. The group tried to work centrally through the CO for this project but it needs to be a campus-by-campus project due to differing use and access of FacilitiesLink at each campus.

o   Wikidata Building Project study group will start in January 2024

o   Along with the Digital Archives Working Group (DAWG), The LDTF created a very brief survey (1-2 minutes!) to learn about CSU-wide interest in linked data applications for digital discovery. Responses were accepted until December 20

  • Inclusive Description Task Force (IDTF)

o   Working on an LCSH proposal for “forced removal and incarceration”;

o   Upcoming activities include more mapping for the Homosaurus, GSSO mapping;

o   Group is recruiting for more members

o   looking into the possibility of hiring a student from the SJSU iSchool to possibly help out with projects

ERM (Electronic Resource Management)

  • ERM monthly office hours continue (started in October 2023, held third Thursday of the month from 10am-noon), these have been very successful with good questions, presentations, and attendance;

  • License management was presented at the TS Open Forum on Nov 16 by Anthony Davis, Jr (Fullerton), this led to good conversation at ERM Nov 20 office hours about license management and to a shared document of who approves licenses at various CSU campuses;

  • The committee is discussing the formation of a temporary acquisitions group in the ULMS, like the ERM Wiki Task Force, where the group will have specific tasks to investigate. The tasks discussed are creating best practices for license creation in Alma, test and report on the new POL Task List, and update the acquisitions wiki pages with current information;

  • RapidILL lending note work continues;

  • Met with the Ex Libris Content Team November 1;

  • The ERM wiki task force has been very active in cleaning up the ERM wiki pages;

  • Shared input and voted in the Content voting NERS round

Resource Sharing

  • Very focused on the Rapido evaluation and delivering report to COLD for December 2023 in-person meeting presentation and discussion;

  • Rapido Refreshers continue to remind staff of best practices and workflows with Rapido and to help new ILL staff:

  • The group managed the first cycle of Rapido enhancements and getting input from all CSU libraries for the NERS process, the second round of voting only had one enhancement that the CSU was interested in (8484) so the CO voted for that one only, 8484 (Configuration option for mandatory fields in the Rapido request form) was accepted to fix in the final voting;

  • I-SPIE website is being redesigned and moved to a CSU server to move off of the free site with ads;

  • Wiki documentation reorganization and improvements continue;

  • The possibility of a new courier and West Coast Pod plans and development continue

  • Chris Lee continues to host regular office hours on resource sharing support on Tuesdays from 11am-noon.

Fulfillment

  • Discussions of changes in student behavior and enforcement of library policies;

  • Working on plans for best practices on purging patron records from Alma;

  • Looking into developing other best practice documents in relation to access services and fulfillment, including a ‘CSU wide Customer Service Policy and Procedures’ document;

  • Discussion on moving shared documents for the committee out of Google Drive into a more permanent place;

  • Campus interviews for the General Fulfillment survey will start in Spring 2024

Discovery

  • Continued work on gathering and reporting problems for the Data Issues Task Force;

  • Looking at the mobile experience for Alma and Primo through Analytics [Primo and GA4], previous CSU Salesforce cases (there were very few), and getting input from Ex Libris on mobile cases (they also indicated very few across all sites);

  • Revisiting the CSU-wide settings for FRBR and de-duplication since we moved to Primo VE in 2021 along with Resource Management;

  • Discovery will hold an open forum after the next VETT newsletter is published (after February 2024 Primo release is tested)
