Summer 2018 Update

Project Management

  • Gathered feedback on ExL Support over the past year and shared summarized comments over ULMS mailing lists. These comments will be shared with ExL at our meeting on August 17

  • Voting on second round of Alma Enhancements took place in late June/early July. Voting on second round of Primo enhancements is currently underway, ending in mid-August

  • ULMS Summer meeting agenda for meeting August 13 & 14 has been finalized and will be shared today or tomorrow

  • ULMS Functional Committee membership changed on July 1. New chairs and committee members should be in place and regular meetings scheduled. Let us know if you have any questions regarding the process!


Analytics

Working Group

  • Alma vendor record bug:

    • Currently cannot enter login information in the “Statistics Information” tab, only “Administrative Information” tab. ExL is aware.

  • Resource Sharing dashboard created, still work in progress but available for logging in and viewing at the NZ level, demonstrating the impact on individual libraries

    • Lending seems more balanced (evidence of ROTA working perhaps)

    • Borrowing will probably require some assessment as to why some campuses have higher levels of requests

  • Working on Dean’s dashboard

    • Working on needs assessment and environmental scan

    • Carve out some time during the ULMS summer meeting and provide opportunity for folks to comment during the open hours

  • Primo Analytics

    • Still looking at primo vs. google

    • Some mapping taking place but it’s documented on confluence

    • Will look at primo analytics and CSU+ data

    • Focus has been heavy on UX

Resource Management

Chancellor’s Office

  • developing topics for August ULMS CO meeting on cataloging workflows, troubleshooting Alma/Primo records

  • ongoing upkeep of Jstor Ebooks DDA collection, adding new titles as they become available, removing titles that are no longer available

  • shared discoveries on default Marc holdings records in Alma and the impact on holdings records created automatically by PO lines.

  • If Alma norm rules contain $$ (double dollar signs) anywhere in the norm rule, then you cannot save it (caused by June monthly release).

  • Issue resolved but some Alma notices (including overdue notices) were being sent without any cause or trace. Referenced other Salesforce cases. A person from Orbis said that these "phantom" notices occur occasionally after a monthly release



Working Group

  • discuss the 5 additional local fields (9xx) available in Analytics, debate the implications of transferring non-9xx (59x or 69x) fields to 9xx fields to make them available in Analytics

  • examine the implications of 999 CR_RESTRICTED field for course reserves in Alma and the impact on discoverability of these reserves by other campuses

  • identify candidates for NACO (Name Authority Cooperative) training in Sept 2018. possibly 10-15 people from CSU's. Training is online and contains self-directed sessions and scheduled webinars

  • Alma monthly release testing group: added new member, clarified which functional areas each member tests and the extent of our testing.

Acquisitions & ERM

Chancellor’s Office

  • Renewing NZ Purchase Orders and Negotiated Licenses for new fiscal year subscription costs.

  • Working with Ex Libris Support on a bug that has returned to the NZ.  The “Available For” is greyed out and libraries are not listed under the “Available For” and they cannot determine if they are sharing a resource.  It affects ordering because libraries are not sure which resource to order from the NZ.

  • Working with Ex Libris and EBSCO on the EBSCO Link Resolver API Plug-in in the NZ.  This plug-in normally works by checking EBSCO’s resources for full text access before displaying the full text link in Primo.  If the library has access to the full text, the link to EBSCO appears, if not, the link does not appear. The plug-in is currently not working as expected and is inactive in the NZ.

  • Created some How-to articles on the Acquisitions and ERM Committee wiki page

    • Fiscal Year rollover

    • NZ License updates

    • Overlap and Comparison Tool

      • Workaround for comparing an NZ e-collection to the CZ e-collection.

  • Clean up of the Open Access e-collections

    • Adding disclaimer notes to all OA e-collections, adding internal notes to improve e-collection search results for open access e-collections.

  • ProQuest EBOOK PDA/DDA Integration profile now works.  The e-collection is updated by ProQuest, not Alma, with latest holdings available from ProQuest.  Much like the Elsevier Auto-load feature.



Working Group

  • Had first meeting with new members of the committee

    • Set up future meetings

    • Discuss future topics for the Tech Services Open Forum meetings

  • Demonstrating POL set/job creation at Tech Services Open Forum

  • Collaborative work with Resource Management on creating list of recommended OCLC PNC records to use in the NZ for displaying resource links in Primo

  • Discussing the ProQuest Ebook Autoload feature

    • similar to ScienceDirect autoload

    • SJSU may test this in the local IZ

    • Currently working in the NZ for the shared e-collection

  • Attend the summer Alma training at the Chancellor’s Office

    • Working with Resource Management to collect topics for meeting in Long Beach

    • Hold an open forum for ERM/ACQ topics at the meeting

    • Refresh procedures for ordering from the NZ

Resource Sharing

Chancellor’s Office

  • Open forum presentation on RS requests vs. loans in Alma outlining how they affect each other.

  • Distributed analytics report for items lost in transit, sent to all campuses for shelf check to recover missing items.

  • Worked with Chico to reduce number of rejected CSU+ lending requests.

  • Identified cause of a problem leading to CSU+ requests lacking important identifying information (title, author, isbn, etc). Sent out a request to tech services list to address the problem. In the process clarified how Primo scopes and norm rules affect searching and CSU+ requesting.

  • Created a report of total CSU+ items billed for replacement since go live and submitted report to COLD.

  • Working with ExL to configure our sandboxes to mirror production resource sharing set up.

  • Troubleshooting duplicate CSU+ request creation and consulting with ExL about how to fix it. Following up with campuses on possible configuration to fix the problem.

  • Created and delivered ISPIE presentations on analytics and Resource Sharing troubleshooting.

  • Attended first meeting of the Alma Consortial Advocacy Group - Resource Sharing Interest Group. Working with group on agenda for meeting with Ex Libris product development.

Working Group

  • 6/1 Open forum: discussed recalls, general messages and request/loan structure

  • CSU+ bag maintenance: collecting information and creating budget request

  • Discussing how to gather data on courier performance. How can we centralize feedback to ensure they're fulfilling their contractual obligations?

  • Fine tuning August training topics and presenters

  • First meeting with new members on 7/10/18

Fulfillment

Chancellor’s Office

  • Tracking high priority case re: patron load not assigning Patron role to new users.

  • Identified issue with overdue/lost loan profiles and loans not being appropriately marked overdue or lost. Assisted campuses with issue resolution where appropriate.

Working Group

  • Fine tuning August training topics and presenters

  • 6/27 open forum: discussed committee membership updates, summer training, batch user updates, re-loan limits

  • First meeting with new members and new chair on 7/13/18

Discovery

  • We’ll be running our second renorm of the summer on August 3.  This renorm will address minor data issues from the last renorm.

Working Group

  • Developing topics and training for the Summer meeting, including harvesting from institutional repositories, working with scopes, Get It and Find It deliver options, and usability testing results.
