September 2018 Update

Project Management

  • In response to August meeting topic with ExL management, presented list of top 12 cases in Development status in SalesForce for internal escalation.

  • California ELUNA Regional Users Group has been formally recognized by ELUNA. Brandon will serve as Chair during the first year, with other leadership positions taken by representatives from USC and UC Irvine. Planning for the year is underway. Any CSU staff, faculty, or administrators can join the mailing list at cal-rug+subscribe@googlegroups.com to participate.



Analytics

Working Group

  • Examining the usefulness of Alma Benchmark Analytics for the CSU. Nikki is inquiring among the campuses to see if anyone has already enabled them and or has evaluated their use. Brandon is checking with other No. American consortia to see if anyone is already participating and/or analyzing benchmark data. The Working Group plans to make a recommendation to COLD at the December meeting regarding participation.

  • Resource Sharing Task Force is working on functional/operational reports such as Turnaround times and fulfillment rates for use by the Resource Sharing Working Group

  • Data Visualization Task Force is further developing the Dean’s Dashboard based on feedback on the wireframe shown at the Summer Meeting and other venues. Also looking into Tableau licensing and whether Benchmark Analytics might warrant inclusion in this dashboard.

  • SUSHI login info has been collected by Ying and Nikki for distribution and management by the Working Group.



Resource Management

Chancellor’s Office

  • Preparing for Southern California Technical Services Meeting at CSUN on Oct 12

    • Presentation on NZ management of Marcive GPO gov docs

  • Recruited five new catalogers for Primo Norm Rules Joint Task Force

    • Conducting orientation and training will begin mid- to late-October

  • Testing and preparing Marc records for Safari/OReilly ebooks platform

Working Group

  • Ongoing work with Resource Management cataloging manual

  • NACO training will complete by end of September

  • Explore how redesign of Metadata Editor (2019) will impact cataloging workflows



Acquisitions & ERM

Chancellor’s Office

  • Updating the shared NZ licenses for the SDLC July renewals.

    • Adding signed agreements and title list to the NZ shared licenses.

    • Updating the NZ vendor records to accommodate new vendors for current e-resources

  • Activating e-collections in the NZ for the new Opt-in resources added in July.

  • Worked with SDLC, ProQuest and O’Reilly on setting up and introducing the new Safari e-book platform.

    • More content including access to all e-books, technical and business, and to videos.

    • Still working with O’Reilly on adding the MARC records to the NZ.

  • Working with SDLC on setting up Trials in the NZ.

    • Hope to add workflow to the NZ so that libraries could order the new e-resource directly in Alma.

    • Create workflows and documentation for shared tasks with SDLC.

    • Share Trial workflows and setup in a Tech Services Open Forum.

  • Creating new How-To documents for the Acquisition and ERM wiki page to share ERM task tips and more efficient workflows.



Working Group

  • Do an environmental scan of current workflows for acquisition and ERM task.  Explore options that work best and share workflows with technical services. Discover obstacles and potential difficulties and find a workaround or more efficient workflow.

  • Create a New Staff document to gather pertinent materials for people who are new to Alma acquisitions and ERM tasks and workflows.  Can be used for recently hired staff or current staff who may be new to the Alma ACQ/ERM tasks and workflows.

    • Once the document is near complete, it will be shared during a Tech Services Open Forum for input and feedback.

  • Generate topics for training more advanced options for acquisition and ERM and also provide a refresh on topics previously covered.

    • Refresher topics would coincide with New Staff document.

  • Creating How-To documents on the ACQ/ERM wiki page to share helpful acquisition and ERM workflows.



Resource Sharing

Chancellor’s Office

  • Daily request troubleshooting/explaining resource sharing functionality when questions or unexpected behavior arises

  • Developed agenda and attended meeting with Moshe Shecter, Alma Product Manager and Alma Consortia Advisory Group Resource Sharing Interest Group to discuss current and future resource sharing functionality. (Meeting notes here).

  • Creating and testing a variety of analytics reports to identify items requiring action:

    • Items with mis-matched resource sharing requests and item statuses

    • Requests that were never filled and never expired

    • Items received by borrowing library and stuck at the receiving step

    • Shipped by lender and never received by borrower

  • Analysis, testing and documentation of config settings from implementation that have an undesirable effect on resource sharing operations.

    • Process and criteria used to find a matching item to fill a request

    • Requestability of resource sharing location

    • When resource sharing requests recall items out on a resource sharing loan

    • Blocking local loans on items that have been requested for resource sharing but not yet shipped

Working Group

Continuing work on:

  • Courier problem reporting form and submission process

  • Master list of replacement item policies at each campus

  • Damaged Item workflow

Fulfillment

Chancellor’s Office

  • Developing and refining analytics queries that were not adequately addressed or created by Ex Libris during the summer training.

  • Working closely with Working Group to research, define and articulate the basis for forthcoming strategic goals document.



Working Group

  • Hosted first Open Forum with the new committee members on 9/25. Recording will be posted soon on the wiki.

    • Demonstrated Alma’s shelf reporting capabilities and an additional shelf report program created by Purdue.

    • Showcased analytics report to find users with fines above a certain amount accrued before a particular date (in this case over $20 accrued by 8/1/18)

  • Continuing work on establishing well-researched goals and prioritizing them for the 18-19 academic year



Discovery

  • Restored simpler user login area after changes from August release.

  • Fixes to report-a-problem button in Central Package

  • Recruited five new catalogers for Primo Norm Rules Joint Task Force
