Project Management
We are sorry to announce that Marcus Jun will be leaving the Chancellor’s Office at the end of January for another job opportunity.
Marcus has made many contributions to the success of the ULMS project -- both during implementation and in providing Network Zone support as part of the CO team -- and he will be missed. We hope you will join us in wishing him continued success in his new endeavors!
In the short-term, CO staff and the NZ Management Group will be covering Marcus’ responsibilities. For the long term, we'll be working with COLD on how best to structure and fund central support for NZ resource management activities.
Brandon is conducting check-in calls with each campus over the course of January to assess satisfaction with and gathering issues regarding Alma and Primo over the past several months. His findings will be shared with COLD and with Ex Libris later this Spring.
The CO will be meeting with ExL support management in early February to hear their plan to address the backlog of SalesForce cases in “Pending Development” status. More on this will be shared after this meeting.
The Working Groups will be working on updating policies in SalesForce, after which all ULMS policies will be moved to their own space in Confluence. It is hoped this reorganization will make discoverability and management easier to conduct.
Analytics
Working Group
ACRL statistics: The WG has developed a toolkit of reports to cover each question on the ACRL survey where Analytics is helpful and made it available to the community. The wiki page has been updated. Since there are so many local variations and practices, creating one-size-fits-all reports for all 23 campuses has been extremely challenging. Libraries will still need to customize some of the reports, and the WG are ready to support that activity.
Collection Development Toolkit: The task group is working on instructions and documentation.
Resource Sharing - Analytics Joint Task Force: The group has satisfied most of the workday reporting needs and is considering some assessment strategies for CSU+.
SRU Searching: The task force is awaiting a critical bug fix scheduled for the February Alma release.
Data Viz: Lauren Magnuson demonstrated the Dean’s Dashboard to COLD in December. COLD will send feedback soon.
Salesforce Cases: The last few Alma releases have introduced significant bugs related to usage data harvesting and NZ-managed e-resource data in Analytics. Most of them have finally been resolved, but the WG is keeping an eye on the situation and opening additional cases as necessary.

provided overview of resolving multi-matches to NZ management group. goal is to have several people across the CSU who can perform daily maintenance of duplicates in the NZ
created documentation on managing the Marcive Documents without Shelves, Jstor DDA, and Safari Books Online collections. Examples: how to manually add new titles, how to remove inaccessible titles
finalized the onboarding of new members of Primo norm rules task force and equipped them to evaluate and test norm rules in the sandbox

Acquisitions & ERM

NZ License Terms: Working on a more automated way to fill in the terms for all of the NZ licenses. Once this process has been tested, the hope is that it could be shared with other libraries.
January E-collection Renewals: Updating the e-collections that have been renewed in January. There are new resources included in this round of renewals so the process is taking some time to finalize between SDLC and the vendors. NZ licenses and POLs are being updated as the finalized agreements come in.
Safari Authentication: Libraries are still setting up authentication for O’Reilly Safari but they are running into issues with proxy stanzas and access either on-campus or off-campus. There may be a centralized solution for libraries that is being investigated. Both Safari collections remain available in the NZ for libraries to use until authentication issues have been resolved.

ERM Contact list for the CO: Work continues are generating a list of ERM and ACQ contacts the CO can communicate with when there are projects specific to testing ERM and ACQ process.
Getting Started document: The group created a “Getting Started” document for those who are new to using the ERM and ACQ processes in Alma. The document can also be used to get a refresh on processes for current ERM and ACQ users.
Introduce Combing IZ/NZ searches: Searches for e-collections active in both the IZ and NZ can be combined and displayed in the IZ tab. This can be activated by contacting Ex Libris Support. The combined search can be deactivated by the individual Alma user once it has been set up in the local Alma instance. There will be a demonstration in the next Tech Services Open Forum.
Resource Sharing

Saw odd system activity on items requested for CSU+ resulting in requested items marked missing. Mallory created an analytics query to find affected items, communicated issue to campuses and submitted a case to determine the root cause.
Hosted a webinar with Jeremy Hobbs (SLO) to roll out the new CleanSlips webapp. Working with campuses to finalize their templates.
Repaired mistakenly re-shipped CSU+ requests at LA and San Diego after the problem was documented and a fix determined via SalesForce.
Collecting information about courier vendors in preparation for end of Tricor contract in 2019.
Researching factors to consider in a CSU+ cost per use calculation.
Working Group
Figuring out most engaging way to remind the CSU+ community of shipping best practices in response to several requests to do so.

Working on analytics queries to support course reserves exploration (see working group section).

Sub-group working on comprehensive walk-in patron policy recommendations and procedural documentation submitted draft to the working group.
Created criteria to identify campuses that have exceptional course reserves activity via analytics.
Planning content for next open forum in February.
Testing January new release features - multiple printers, new lost and paid feature.
Discovery

CO and UResolver taskforce continuing to work on simplified replacement for the Get It Menu, with the goal of streamlining the display of physical items and resource sharing request options. Tentatively aiming for a pilot over the Summer with a wider release in the Fall.
Reserves browse application now includes availability message for electronic resources.
Working Group
Reviewing suggested UX customizations for implementation. We expect that these will be rolled into the Central Package (in some cases as optional features) throughout the Spring.
Chico has completed latest round of UX testing, and will present at next Discovery open forum.
David will be leading the Primo Normalization Group after Marcus’ departure, focusing some of their efforts this Spring on getting more information on Primo VE.
