April 2018 Update

All - Here is this month's update. We're trying a slightly different organization in hopes that it will be easier for you to see everything going on in your areas of interest. As always, let me know if you have any feedback!

Project Management

  • ELUNA enhancement voting underway
    • Alma Phase 1 complete April 14
    • Primo Phase 1 to be completed April 28
  • SalesForce support analysis underway
    • Examining time to close cases across all products from Sept 2017 to March 2018
    • Will be asking campus staff for feedback on their experiences
    • Goal is to inform discussion with Ex Libris execs at next meeting (Summer 2018)
  • ELUNA 2018 taking place at end of April. Many CSU presentations will be delivered.
  • Save the Date August 13-14 for the Summer Meeting at the Chancellor’s Office.

Analytics

Working Group

  • Data Visualization Task Force is working on a simple proof-of-concept for a "dean's dashboard."
    • Exploring both Alma Analytics, Tableau, and other things
  • Offered recommendations on Analytics enhancement
  • EAR is creating a sub-committee led by Carol at Long Beach on system-wide usage
    • Six campuses have yet to set-up any COUNTER usage stats in Alma
  • Providing examples to Ex Libris for real-life training in Analytics at summer meeting

Resource Management

Chancellor’s Office

  • Preparing RM presentations for ULMS meeting in August
    • Topics include: cataloging workflows, normalization rules/processes, indication rules
  • Ongoing database maintenance in Network Zone: merging duplicate NZ records
    • Approx 300 record groups merged daily during OCLC load
  • Remediation of Fall 2017 NZ cleanup
    • There were IZ bibliographic records in boundwith relationships where the corresponding NZ records had not been restored
    • Ran Analytics reports to identify missing NZ records
    • Exlibris support restored the NZ records

Working Group

  • Continue to discuss and assess impact of and compliance to policies as well as need for new policies
  • Continue to revise best practices and procedures, as needed, in support of efficiencies
    • e.g., MARC Holdings Format to allow libraries to accept Alma default values for single-part items; Publishing to OCLC
  • Continue to respond to requests for training and procedures
    • e.g., Digital Bookplates; Canceling/Closing Orders and Impact to NZ records)
    • including identifying topics and trainers for weekly TS Open Forums
  • Continue to provide weekly digest of Slack postings on resource management issues to the ULMS TS list
  • Identified topics and CSU expert trainers for session(s) during the Ex Libris-CSU Summer Training
  • NZ restore record problem resolved. Records restored for CSU (thanks to Marcus Jun).
  • Upcoming: Review Notes fields display in Primo to submit recommendations to the Norm Rule Task Force.

Acquisitions & ERM

Chancellor’s Office

  • Opt-in e-collections are all set to be ordered in the NZ.
    • Wrote instructions for and showed where the new FY NZ negotiated license cost would be updated in the local purchase order
    • Working on ECC e-collection ordering and creating negotiated licenses
  • MyiLibrary e-books migrated to Ebook Central Perpetual e-collection
    • The old MyiLibrary e-collection was deactivated on April 25th when the migration at ProQuest finished.
  • Investigating the JSTOR PDA/DDA e-book pilot
    • Gathering information, from SDLC and the vendor, needed to set up the pilot in the NZ.
  • Continuing to update the Westlaw e-collection, removing portfolios from the e-collection that are no longer available from Westlaw.

Working Group

  • GOBI
    • Have surveyed campuses around problems in GOBI ordering in Alma
    • Want to make sure GOBI is setting holdings in OCLC correctly
    • Resolving other issues between GOBI and Ex Libris
  • Reviewing strategies for new functionality in May release that allows portfolios to be moved

Resource Sharing

Chancellor’s Office

  • Tested and documented configuration changes required to allow all material (books and media) to circulate for the “long loan” period -- 60 days. Find the guide here: Removing the CSU+ Short Loan Period. Communicated policy changes with instructions to campuses.
  • Worked closely with the Resource Sharing Functional Committee (RSFC) to develop workflows and best practices for maintaining Alma Resource Sharing queues. Documented processes in how-to functional guides posted to the RSFC wiki (see links below).
  • Obtained scope of work for TRICOR courier service, communicated these details with campuses and provided guidelines for following up on missed/delayed/sub-par service.
  • Compiled current and historical ILL use data and analyzed changes in borrowing and lending volume in different ILL systems (Link+, CSU+ and ILLiad).

Working Group

Others are still being edited and will be posted to the committee site as they are finished.

  • Updating CSU+ content on the ISPIE website to redirect to the Resource Sharing pages on Confluence, streamlining content updates and upkeep.
  • OCLC gave two sessions on the end-of-life of ILLiad and its replacement by Tipasa. COLD recently voted that the CSU libraries should tackle this issue together and is working with the CO to identify a group to define that process.
  • Worked with Fulfillment on joint open forum, held on April 25. Topics discussed included:
    • Visiting patron functionality
    • CSU+ lost item policies
    • CSU+ overdues and overdue notices

Fulfillment

Chancellor’s Office

  • Reviewing policies and creating corresponding instructional information about how to configure Alma to adhere to approved policies.
  • Hosted office hours about overdue/lost loan profile configuration.
  • Working with SFSU to troubleshoot communication issues between Dematic and Alma.

Working Group

  • Workflow documents completed, shared with access list and posted on Confluence.
  • Brainstorming training topics for future open forums:
    • ELUNA session review
    • Demonstrating joint task force procedures
  • Met with Resource Sharing to go over joint topics
    • Task forces working on procedures for:
      • Overdues and notices
      • Visiting patrons
      • Lost items for CSU+ and ILL
  • Have done some work with Analytics group in organizing shared reports in Analytics
  • Working on policies to ensure proper set-up of TOUs
  • May open forum will focus on information sharing from ELUNA

Discovery

Chancellor’s Office

  • CO and Norm Rules Taskforce completed first renorm of 2018 over the Easter weekend.
  • CO  and User Interface Taskforce putting final touches on new features in the Central Package – including Google Analytics, SMS, and report a problem.

Working Group

  • Changed meeting schedule to drop regular meeting, let task forces work on deliverables
  • FRBR will be turned off in Primo at the next renorm due to ongoing erroneous matches, the unavailability of FRBR groups during renorms, and usability concerns.  This has been met with widespread agreement in Discovery and Technical Services open forums.
  • The Primo May 2018 release will be installed on sandbox  around Apr. 29 and on production around May 27.
  • A fresh round of user testing is on the horizon based on the data from the CSU Primo Environmental Scan. The group plans to test different interfaces against one another to see what sort of setup works best.
  • The Discovery Outreach and Instruction Task Force would like you to take a look at this document. Please provide any feedback on this back to the group via email.
