Chancellor's Office-level discussions re: PeopleSoft and Shibboleth

  • David looking for a way for the CO to mandate / coordinate the use of Shibboleth for authentication and set central direction for PeopleSoft
  • Goal would be for it each campus to not have to do any local setup for authentication and PeopleSoft
  • Will be meeting with staff at the CO tomorrow Thursday at 1:30; notes will be shared / posted

  • San Marcos setup of PeopleSoft extracts XML
  • Ex Libris provided XSD
  • Identified fields in Millennium that would be needed in Alma
  • Met with Ex Libris consultant and the PeopleSoft people
  • Created a test of the XML data
  • PeopleSoft people needed to know more information about required fields, what fields can be repeated, etc.
  • PeopleSoft staff wrote the transformation from XML
  • Library set up the FTP server to hold the file; pointed Alma settings to grab the file nightly
  • Suggestions for working with campus IT about this
    • Set this up early rather than later
    • Potentially start communication at the Dean level
    • More documentation, the better
    • Give plenty of lead time to dig through the information
    • Potentially need to limit
  • Security concerns
    • IT had to vet what was being exported and know who is touching the data
    • More documentation from the vend
  • Financial Data Integration
    • San Marcos is working on this
    • Does not necessarily being done during initial migration; depends on how ready acquisitions are with the data as-is the summer after go live. If there are issues with the data in Alma
    • Scheduled nightly Alma export; PeopleSoft picks up the file
    • Bigger project is getting data from Alma into PeopleSoft
    • Process involves going through the fields that they require, creating a dummy XML file; enables the programmers to write to that
    • Survey Question: Who in the CSU already has financials set up?
    • Next integration of CashNet / Innovative Bursar module

Review of September 1st Alma Intake Questionnaires: What else do we need to know from campuses about their systems environment / 3rd party integrations?

  • CashNet / III Bursar module functionality - which campuses are currently using this and would rely on this to be set up for Go-Live
  • DCB (Direct Consortial Borrowing) Integration and INN-Reach: Should we start thinking about how this will work?
    • COLD should hopefully start thinking about the direction of Resource Sharing
    • Shouldn't wait on III about API's / "Post-DCB World"
    • Need to know: How many campuses are going to stay with Link+ (all over CA) / Circuit (Local to San Diego) - get a lay of the land
      • If people are staying with Link+ and want a DCB, data cleanup will need to occur (need an exit strategy)
        • Virtual records that are completely obsolete will need to be removed - does San Marcos have suggestions for cleanup / migration?
          • San Marcos: DCB / Alma Issues include item statuses not being changed; have since been resolved
          • Data from Alma to DCB in a good place
          • Ian Chan (Unlicensed) can share DCB cleanup / implementation documentation; San Marcos is working on it
          • Also need to account for Alma integration
      • Are you still participating in INN-Reach? Do you have a preference for a DCB Solution (local host or hosted solution)?
  • ILLiad - one-way integration from NCIP to patron record in Alma/Primo; see pending requests status; received articles
    • Would be good to have a centralized project for this
    • Leverage for Ex Libris as far as expanding
    • Not a day-one priority; but could be an ongoing
    • Shibboleth integration into ILLiad
      • Survey question could be how people are currently authenticating with ILLiad
    • Survey on how people are using the Millennium patron API

Prioritize action items from September 1st meeting: What items / integration are both essential and likely to take the longest?

  • Patron Loads from PeopleSoft
  • Authentication, i.e., Shibboleth
    • San Marcos found that Shibboleth with Primo was difficult; some issues (Request Hold issues, etc.)
    • Action item: make documentation about how Shibboleth should be set up to work
      • Get Shibboleth stanza from San Marcos IT
  • CashNet/Paypal for fine/payment

  • Create a package of information to forward to campus IT about this process (include scripts, documentation, IP addresses that will be harvesting the data)
  • Make CSU-wide instructions / documentation about how Shibboleth should be set up to work with Primo
