Clean Up of Brief Records in NZ

This process will identify any personal copies that were put in the NZ by mistake and unlink them to the NZ so they will be deleted in the next NZ purge.

Step-by-step guide

Create a public Physical titles set that will identify any course reserve instructor titles that ended up in the NZ.  The criteria to identify the brief title records for your instructor copies will be different at each institution.  At CPSLO, we can identify personal copies by the first letters of the call number.

Criteria for Physical titles set:

Course reserve personal copy = Yes (or however your institution identifies that)
AND
Is linked = Yes

Save the set as public if more than one person needs access to the set results.


Process for unlinking instructor copies from the NZ:

  • Admin → Manage Sets → Public Sets
  • Go to the set you created.  At CPSLO it's called:  Course Reserves Personal Copies in the NZ.
  • In actions button, select Results (blue man icon indicates that these are in the NZ).
  • For each item in the set:
    • Click on Edit Record
    • File → Copy to catalog
    • Click on save icon
    • Back
    • The title should no longer be in the set.
