Discussion topics
Background: Campuses that previously used RapidILL may recall that you build a profile of lendable materials through a publishing job in Alma. From that job, the RapidILL office would generate a spreadsheet on which you could indicate whether a collection was lendable nationally, internationally, or not at all.
Now that the whole CSU is using Rapido, we need a different approach. The simplest method is to use Analytics to search the License terms with Alma and generate a report for Rapido. However, use of the Licenses option in Alma has been inconsistent. At the NZ level, Jessica H. has populated the licenses templates for many shared ecollections and is working on the remainder. At the IZ level, some campuses have extensive data while others have nothing.
For the Rapido reports, a minimum of two fields are required:
Interlibrary loan secure electronic transmission (Permitted/Prohibited; other options not needed)
Interlibrary loan note (free text; need standard language about any geographic limitations on lending)
However, if every campus will be asked to touch the licenses for their IZ as soon as possible, now might be a good time to fill out a few fields with frequently-requested data (although this is optional!). The full Alma License template has numerous fields, but Jessica can create an abbreviated template that she can share to the campuses. She can also share the NZ licenses to the IZ, if campuses want them. We suggest:

Perpetual Access Right
Perpetual Access Holdings
Perpetual Access note

Course Reserve?
Walk-In User Term Note? (Note there is no field for Authorized Users, although it is possible to define local license terms)
Fair Use Clause?
Display of any Alma License Terms in Primo is a related but separate issue. Not all license data may be of interest to library users, and there are multiple ways of conveying crucial information to users; for example, by using Public Notes or Authentication Notes in portfolios.
Presence or absence of nay License Terms does not affect functionality. For more info, see Managing Licenses and Amendments

Jessica plans a presentation about the Rapido licenses for an upcoming Tech Services Open Forum. At the forum, we will ask for opinions about additional fields.
