California State University Libraries have need for tools to support the management and discovery of their unique materials; stable and sustainable collection management and digital asset management systems are the core requirements of each institution within the CSU.  Currently, some institutions pay for hosting services such as CONTENTdm for digital asset management and LibraryHost for collection management, but wish to migrate from these subscription-based services to something more robust, open source, and maintained system-wide. Others are currently unable to support these services locally, and lack access to the tools necessary for these functions altogether. This interest group proposes to explore the possibility of CO hosting of ArchivesSpace, the current industry standard collection management tool, and to develop or implement an existing digital asset management system based on the Samvera platform already in use for Scholarworks to support the creation, discovery and preservation of digital collections.

Shared Needs and Requirements

Interest group participants should have experience with management of a digital asset management system or collection management system. The working group will define system needs at a campus level with the intention of requesting a cost-efficient, modular, and overlapping CSU-wide solution.

Deliverables & Timeline, 2017-2019

  • Draft charge for a digital archives working group in consultation with STIM (Completed)
  • Document the scope of interest in participation and potential implementation throughout the CSU
  • Develop a proposal for CO hosting for ArchivesSpace, including migration support (Note: this was determined to be of lower priority, and may be returned to at a future date)
  • Begin to identify desired features and requirements for a digital asset management system, based on the Scholarworks platform
    • The functional requirements are in development by Alyssa Loera and Steve Kutay (May 2019; expected completion end of summer, 2019)
    • Potential solutions that are currently under development within the Samvera community may be also be investigated and proposed for implementation
