Background

There are several methods for creating new records for bound-withs in Alma. Only one method will work under the OCLC master record approach adopted by CSU libraries. For procedures, see Bound-withs: Creating a Host Bibliographic Record.

Policy Statement

CSU libraries must use the standard method below when creating new records for a bound-with to ensure linking information is stored in the IZ and protected from overlay. Host bibliographic records, including those created during migration, should be suppressed.

Standard method

A brief ‘host bibliographic record’ is created in the IZ, with a holdings record and 774 fields for the constituent parts of the bound-with. Separate bibliographic records exist in the NZ for each constituent title, but without holdings records.

With the standard method, the record with linking fields is stored in the IZ, so it is protected from overlay.

Alternate methods

  1. This method may be suggested by Ex Libris, but CSU libraries should not follow it. Linking fields (774) are added to one of the constituent bib records, making it serve as the host record. Holdings are attached to this bib, and the other bibs become related records.

  2. This method is included in an Ex Libris presentation, but CSU libraries should not follow it. One of the constituent records serves as a host record. Holdings are attached to this bib, and the other records become related records. Linking fields (773) are then added to the related records, pointing back to the host record.

Neither of these approaches will work in our shared network environment. While the 77X fields are not local fields, their use in these cases are local. The linking 77X fields stored in NZ records will be deleted when an overlay is triggered by an update to the OCLC master record in WorldCat.

Suppression

Host bibliographic records in the IZ should be suppressed. This helps prevent confusing displays in Primo.
