Report Summary

A. Goals & Tasks

  • Revised policies and procedures; some procedures in policies were moved to a separate document (e.g., Bound-withs; Suppression of Records for Physical Inventory vs. Suppression of Records);
  • Discussed and adopted standardized values to be used in item records "Provenance code" to encode method of acquisitions (MARC Holdings Format values deployed to all libraries from NZ level);
  • Provided input to ERM Task Force on recommendations for migrating database-level records and its impact in Alma;
  • Initiated review and discussion about item records "material types" for final recommendation;
  • Began collaboration with ERM Task Force to develop cataloging procedures for e-resources;
  • Consulted Import Profiles Task Force on status to complete/revise document for loading WCP, including shelf-ready, records into NZ.

B. Progress

  • Initiated collaboration with ERM Task Force to develop procedures for cataloging e-resources (single e-book/e-journal titles); identified preliminary considerations, and drafting of procedures to begin at next meeting  
  • Conducted an assessment of "material types." Recommended retention of Alma material types; final recommendation and definitions to ensure standard use to support Analytics are being drafted;
  • Provided updates to TS Working Group and solicited feedback on decisions about item records "material types" for final documentation.
  • Import Profiles Task Force alerted us about EOCR+ service which would add OCLC record number in brief records, which would simplify matching via OCLC (035) field.
Description

Decisions:

  • Adopted use of MARC Holdings Format "method of acquisitions" values for "Provenance code" in item records:
  • Recommended use of Alma list of item records "material types" without removal of any values in the list;
  • Distributed procedural documents for setting up SpineOMatic (including use of dot matrix prints with SpineOMatic) and requested campus to test label printing.
Action Items

Finalize recommendation about item records "material types" (uses and definitions; re-ordering; label description);

Draft procedures for cataloging e-resources (in collaboration with ERM Task Force);

Start draft manual for procedures and decisions in cataloging;

Collaborate with Systems Import Profiles to complete document on Loading YBP Records for WCP, including Shelf-Ready.
