ILLiad Fill Rate Instructions
To know how the Rapido fill rate compares to the fill rate in ILLiad I need certain ILLiad analytics. I need to know how many requests for physical items were submitted, filled, and unfilled. This data can be used to determine the fill rate. I can easily get the Rapido numbers, but the ILLiad numbers are a bit trickier. I currently have access to the OCLC web reports and can get the Filled numbers for loans, but the unfilled and Submitted totals are combined with articles, which would skew the data. This data is also not broken apart by Article and Loans in historical I-SPIE analytics. Thankfully the data is available in ILLiad Web Reports. Unfortunately I cannot access the ILLiad Web Reports without an ILLiad account and access to a campus IP address. It would be helpful if staff could gather the necessary data and input it to a shared spreadsheet (sent to you through email). Bellow are step by step instructions to get the numbers I need.
Instructions For Fill Rate
To get the Web Reports go to System → Web Reports in ILLiad:
Then go to the Borrowing Reports:
Finally go to the report called Fill Rate Statistics:
Inside the report, select a begin date and end date. I need the numbers separated by month, unfortunately this will need to be done for each month. Add the first date of the month through the first date of the following month to get the whole range. Example: 7/1/2016-8/1/2016 for July 2016:
The next page will be the report. Scroll to the bottom of the page and get the Submitted and Filled totals for Loans and input them in the correct month for your campus on the spreadsheet sent through email:
Hit Back in your browser and change the dates to the next month and repeat through June 2017. This will provide a year of ILLiad fill rates from prior to Rapido and even CSU+. I will compare this data to Rapido analytics provided by the ULMS Assessment & Analytics committee to include in the next update on the Rapido Report, which will be shared with CSU Resource Sharing Staff and COLD.
Instructions For Cancelled Reasons
In 2016, libraries had different workflow that could impact fill rate stats either positively or negatively. One such workflow was how they chose to handle requests for items owned by the library. Some libraries filled these in Borrowing, leading to an increase in Borrowing Fill Rates. Some libraries filled transferred these to Document Delivery and filled them there. Lastly, some libraries cancelled these requests, which would decrease fill rates. To give context to the fill rate statistics, it may be a good idea to include the Borrowing - Requests Finished and Cancelled report.
Generating this report uses most of the same steps as generating the Fill Rate Statistics report. To get to the Web Reports go to System → Web Reports in ILLiad:
Then go to the Borrowing Reports:
Finally go to the report called Requests Finished and Cancelled:
Inside the report select the Begin Date and End Date and change the Request Type to Loan and then click Generate Report:
