Digitization Workflows, Laura & John

  • Demo - 45ish minutes 

    • End user making the request

    • Library staff workflow of pick from shelf to scan in to delivery

  • Can limit digitization request button to certain user groups (i.e. faculty only) and limit which items can be requested 

  • Copyright declaration - must be checked in order for the request to go through 

  • Alma Workflow

    • Requests to go pick from shelf list 

    • Scan in item and destination is digitization department

    • Media digitization is put into YuJa 

  • Digitization department is it’s own desk separate from Circ desk

    • Alma requires a separate digitization department desk in order to process the request 

    • Triggered when item is scanned from pick from shelf to digitization department and then must be scanned back in to go back into the stacks for reshelving 

  • 2 ways

    • Document delivery - easier/better? 

      • Attachment is uploaded into Alma and emailed to patron - can attach multiple documents but there is a file limit size 25mb 

      • No history of the request is kept 

    • Digital file in Alma 

  • Use Acrobat for scanning

    • Max digitization request is 75 

  • No advertised turnaround time 

Walk-In Patron Updates

  • The decisions from the Nov 9th joint meeting were shared with the Steering Committee.

  • It was decided to move forward with figuring out a workable solution to allow CSU+ requesting.

  • Options:

    • Bring it to ExLibris as an issue in place of one previously submitted by FFC or RSFC.

    • Work with David Walker to develop an external request form that will submit the request via and API.

  • Prepare to meet with ExLibris.

  • Review top 5 issues. Narrow to top 3.

  • Discuss CSU+ requesting as a possible addition.

  • Gather information: specific use cases, Salesforce cases, other documentation that shows how and why the issue is worth fixing.

  • Those of us with Saleforce access can search for tickets submitted by other campuses to support need for issues 

  • Attempt to provide screencasts of issues we are experiencing
