CO Update
The following report provides some basic notes on recent and upcoming tasks within the Unified Library Management System project.
Project Management
- The Chancellor’s Office has completed campus check-in reports.
- 22 of 24 libraries received follow-up questions to get clarification.
- Following-up with a few forward thinkers on their ideas.
- CO team met on March 12 to formulate a plan to respond to check-in ideas.
- Brandon escalating SalesForce cases and working with campuses on open cases.
- Will be examining closed cases for first 6 months of production and provided as feedback to ExL execs
- Summer meeting will be held Aug 13-14. “Save-the-date” email is forthcoming.
- ELUNA 2018 registration is now open. To get the early registration discount, make sure to register by March 27.
Resource Management
- The Marcive Documents without Shelves collection of online, U.S. government publications has been established in the Network Zone.
- Ongoing record imports are automated through FTP.
- This collection is available to all campuses by default.
- Marcive also provides bibliographic records for physical (aka tangible) titles.
- The loading of these records is centralized and automated in the NZ.
- Campuses can copy-catalog from the NZ rather than loading records or exporting records from Connexion. Relevant campuses: Sacramento, San Diego, San Francisco, San Marcos
- Paperwork to create a NACO funnel for the CSU libraries has begun. Training will likely take place in Sept. 2018
Acquisitions & ERM
- Proquest, Ebsco, and Gale finished. Working on smaller projects.
- Added over 50 new Gale e-collections to the Network Zone.
- Set up ordering for over 170 Opt-in e-collections
- Setting up orders for Jan-Dec renewals such as the opt-in JSTOR.
- Working on new documentation for ordering workflows.
- Worked with Lynne Jones on new Opt-in ordering from the Network Zone.
- New procedures available from Acquisition and ERM committee wiki page on Confluence.
- Working on fiscal year license changes
- Working with Ex Libris on updating the IZ POL’s for the NZ Opt-in e-collections when the new prices are set at new Fiscal Year.
- Greyed out 'available for' appears to be fixed
- The NZ e-collections had greyed out “available for” labels instead of being bolded and displaying the libraries that share the NZ e-collection. Affected search results for libraries and what they are sharing.
- Ex Libris has fixed the issue, libraries are seeing the correct number of shared e-collections.
- Testing new Ebook Central autoload feature in Alma
- Was successful testing the autoload feature on the Sandbox
- Tried the feature on Production and it didn’t work. Waiting to hear back from Ex Libris Support.
- Will need to also have a library test the feature for a local instance because feature also downloads work orders for the new e-books in this e-collection.
- Acq & ERM functional committee collecting issues campuses are facing with the GOBI API so as to approach GOBI together.
Resource Sharing
- Lots of ongoing resource sharing troubleshooting
- How-to guides are being developed by the Resource Sharing functional committee, addressing scenarios outside of the normal process.
- Basic analytics for CSU+ have been developed and are available in the NZ (see Resource Sharing wiki for details). Mallory will analyze ILLiad data to see how CSU+ has affected use of these other tools in its first 6 months.
- Display logic issues manifest in ways that result in odd resource sharing requests and increased manual effort on the part of ILL staff. Expertise in this area needs to be identified or developed so CSU+ can be more efficient and effective.
- Exploring Tipasa and other alternatives to ILLiad - will begin conversation with COLD in April
Fulfillment
- Workflow guides are being created, tested and posted on the Fulfillment wiki.
- Created taskforces with members from the Resource Sharing Functional Committee to create best practices and document crossover procedures.
- Fulfillment committee has divided into two groups - one to review and revise policies and one to create and analyze Fulfillment analytics
Discovery
- We’ll be releasing an update to the Central Package at the end of March
- Includes a new flexible report-a-problem option, text-a-call number functionality, and support for Google analytics.
- Campuses can choose to opt-in to these new features by filling out the spreadsheet sent to the discovery listserv.
- Ex Libris has released the 2018 Primo Roadmap.
- Highlights include search and ranking enhancements, item relationships (e.g., matching book reviews to a book), newspapers given separate treatment in the interface, and improved ‘My Library Card’ experience.
- New Discovery task force formed to work on ‘new books’ carousel.
- Our Spring 2018 Renormalization of Primo data will take place the weekend of March 29 to April 2.
- Includes changes to align the subject heading display, facets, and browse, with policies, better related title linking, and a handful of other, minor fixes.
- Marcus Jun is now helping with the configuration of the Primo Norm Rules. His expertise in cataloging and Alma are a great boost to our work in this area.
Third-party integration
- Invoice AP integration now supports multiple funds.
Recent Highlights From Functional Committees
ACQ/ERM
- Discussing different workflows for single title ebook ordering/activation
- Gathering issues with ordering through GOBI
- Reorganizing the wiki to make information easier to find
Resource Sharing
- Joint meeting with fulfillment, formed task forces around topics like lost loan and visiting patron topics
- Working on guides for best practices based on questions received by committee members
- Open forum - received good feedback from attendees. Demoed some workflows around general messages and other relevant topics
Discovery
- Open forum meeting upcoming. Topics include book carousel and data visualization efforts and how that would intersect with primo reporting.
- Primo renorm coming at the end of the month
Fulfillment
- Reserves training coming up
- Task forces created with a focus on analytics (common year-end stats needs, benchmark stats), policy updates, and resource sharing overlaping issues.
Resource Management
- Revising policies and best practices in response to requests from campuses and other committees. Looking at compliance, flexibility provided by existing policies.
- Ongoing presentations and trainings on ebook workflows, SUSHI configuration, ACQERM efficiencies, OCLC presentations on Worldshare Collection Manager, and Data Sync Collection in support of Alma publishing to OCLC functionality
- Compiling and distributing weekly Slack digests to ulms-techservices list.
- Marcus developed procedures for loading MARCIVE records. Committee is drafting document outlining approaches for loading record sets foo free e-collections not represented in Alma or OCLC Knowledgebases
Analytics
- Focus on CSU+ stats - are at a place where Mallory is comfortable with the basic stats being produced.
- Working on title list matching for EAR ebook proposal
- Working with tech services and fulfillment groups on presentations and training
- Data viz work ramping up
- Thinking about data dashboards - needs and visualization
- Assessing impact policy adherance has on analytics - working to identify issues and solve
