Rapido currently does not follow the unmediated lost item workflow following the lost item Terms Of Use (TOU) settings. The process is somewhat manual, but with the following sets and workflows it is also fairly simple.

Sets

To be effective at tracking lost items you will want the Lost Item Borrowing and Lending sets. These sets have been added to the Sets wiki page: Sets

Borrower: Declaring Item Lost

When an item is overdue and the patron has not returned the item you can mark the item as Lost. Click the ellipses () in the request and select Lost.

After you click lost, a pop up will appear where you can add a note for the Lending Library. Add the note and click Send. The request will then have the Lost Communicated status and will appear in the Lost Communicated Set.

Lending: Adding The Lost Item Fee

When the Borrower marks an item as lost the request moves to the Lost status at the Lending Library automatically. If you have the Lost By Borrowing Patron Set items with the Lost status will be easy to find. To communicate the fee to the Borrowing Library click the ellipses () in the request and select Lost. A pop up will appear where you can add the lost fee. Add the amount and click OK. The request will now be at the Lost and Fee Communicated status and appear in the Lost and Fee Communicated Set. Once the fee has been paid you can change the status to Request Completed. Since the CSU does not charge each other, you can add a label to the request and change the status to Request Completed.

Borrowing: Charging The Patron

When the Lending Library adds the lost item fee it will come as a General Message in Rapido. If you have the Lost Fee Amount Received Set active in Borrowing all lost items with a General Message will be grouped together. Click the request to open the information pane and scroll to the bottom to find the Request Costs box. In this box you can add the fee from the General Message to the request.

Adding the fee to the Lost/Damaged Item Fee field will add the fee to the record but will not charge the patron. If you want to charge the patron you will need to add the fee to the Patron Request Cost or the Patron Receive Cost. This will add the fee to the patrons account but will not send them an email. To send an email to the patron click the ellipses () and select Send Query To Patron. Before you send the message to the patron you should configure the Query To Patron Letter for a lost item message.
