  • Jung Ah will put together an agenda and send out an invite for the Nov open forum to ulms listservs.

CSU Analytics Consortial Folder Clean-up

  • What’s been done so far:

  • How to proceed, how to look up usage

    • Analytics usage tracking dashboard - /shared/California State University Network/Dashboards

      • Reminder: deleted reports are included

      Checking usage for every individual report might be too much work.
      • Design Analytics role was added to the Analytics usage tracking dashboard as an object so that everyone in the committee can access the dashboard from Alma menu.

        • Go to Alma > Analytics menu > Shared with Me > locate the dashboard > click on the View full report button.

    • Trying to take on a top down approach to avoid having to look up usage for individual reports as much as possible.

      • We can deliver the usage for all subfolders and reports

      in
      • within a folder to the owners of the folder and let

      them
      • the owners know that the ones with no usage in the past 24 months will be deleted.

    • Announce to the listserv and the Slack channel on what is being reviewed for deletion and move them into Review for Deletion folder.

    • List everything that we delete or decide to keep after review under the appropriate tabs on CSU Analytics Consortial Folder Review History.

      • Jung Ah to add Deleted 2024-25 tab.

  • CSU Analytics Consortial Folder Review History - Under Review tab - Folders that may require moving

    Rapido, CSU+ and Review for Deletion

    . These folders are directly under the California State University Network folder. This does not follow the current policy. Should these be moved to the Reports folder or should we update the policy?

    • Rapido - Moving reports that the dashboards point to will break the dashboard. So we will make changes to the policy to note one special exception for this folder but any future folders should be under Reports.

    • CSU+ - Laura will contact Chris Lee regarding this folder with a report on usage of this folder attached. Jung Ah will also follow the same email thread to ask about any reports under the Rapido folder that could be deleted.

    • Review for Deletion - We will keep this folder at the top level (where it is right now.) The folder should be named in the policy. We decided that we will move the folders being considered for deletion into this folder and wait 6 months after that before actually deleting the folder. We will make changes to the policy to reflect this.

      • Once changes are made to the policy, the updated policy will be posted to the listserv and Slack.

  • CSU Analytics Consortial Folder Review History - Under Review tab - Folders that were marked for deletion but did not get deleted.

    • Summer Meeting, CalState Testing Procedures, Reports from ULMS August 2019 meeting at CO

      • Jung Ah will post about these folders on the listserv and Slack and move the folders into the Review for Deletion folder.

  • Any folders that you’d like to tackle next?

    • Maybe the folders under the Reports folder that don’t meet the policy like the Fulfillment folder?

    • Anyone interested in running the usage reports and contacting the owner? If no owner can be identified, just post to Slack and ULMS Analytics listserv with the usage report attached.Please add to the Review tab of CSU Analytics Consortial Folder Review History

    •  Note one special exception for that we are making for the Rapido folder not being under the Reports folder. Also note that all future folders should be under the Reports folder.
    •  We need to note in the policy that the Review for Deletion folder is where we will move the reports/folders that are being considered for deletion. We will wait 6 months after contacting the owners and/or posting on the listserv and the Slack channel before actually deleting the reports/folders.

Once changes are made to the policy, the updated policy will be posted to the listserv and Slack.
