Here is a complete list of record exports that you will provide to Ex Libris for the test load migration. 

All campuses will provide:

Each campus is responsible for exporting their own data extracts from Millennium/Sierra.  Data extracts are completed in Data Exchange (bibliographic records) and Create Lists (all other record types), and will be performed for each relevant record types for your campus.

  • Exporting a list of suppressed bib record numbers will walk you through creating a list of bib records that are currently suppressed in your ILS.  This will show you how to export this list from your system in the format that you can then deliver to Ex Libris. 
  • Exporting all bibliographic MARC records from your system will walk you through exporting your bibliographic record collection from your ILS.  It will create a review file from bib records that contain something in the MARC 245 field in Create Lists and then export this review file in Data Exchange.  Because exporting all bibliographic records from your system will create a very large file, this video will walk through creating multiple bibliographic export files so that the exports are each a manageable size.  This results in around 5-15 bib export files that will then get delivered to Ex Libris after exporting them in mrc format from Data Exchange. 

  • Exporting all other record types in CSV format.  For all other record types (item, patron, checkin, order, vendor, courses, loans and requests), you will export these records directly from the Create Lists Export Records function.  In this process you will choose which fields to export for each record type.  You will also create Saved Exports so that you don't have to repeat the process of selecting every field that you wish to export repeatedly.  This video will walk you through exporting item records, and this process can be followed for patron, checkin, order, vendor and course records.  In addition, the same process will be followed to export current loans and requests.
