Goals

 

  • Darnesa joins the RSFC: Let's welcome Darnesa to the team, and maybe she introduces herself and gives a short autobiography of her history in ILL and Resource Sharing.

  • Updates from last meeting: Joe reached out to Fulfillment Chair Kevin about CSU+ Loan Period project. No date set, but a joint FFC and RSFC meeting is in the works. Joe also reached out to Resource Management Chair Israel about CSU+ long overdues, but has not received a response to the inquiry. Natalya and Mallory were to investigate RS Cleanup Job’s impact on analytics. Any new information on this? Joe, Natalya and Karla attempted release testing on Reactivate Request. Was unsuccessful for a few reasons, but it did result in opening a support case about Add Partner not working. Any update on this support case? Mallory and Meghann were supposed to do things, but we will wait until next meeting to hear updates from them. Any other updates on anything?

  • RSFC Confluence space revamp: We briefly discussed this idea at a prior meeting and more evidence has come in to suggest it would be a good idea. I-SPIE Tip Bot has received a lot of positive feedback. Some feedback were suggestions for tips that we don’t even have on the Confluence Space to link to, such as “Staff Placed CSU+ Requests” and “Adding a Barcode after Receiving Items.” Other feedback was that Tip Bot was revealing things that were kind of hidden under other headings on the site making them easier to find. An example of this is the Long Overdues thing. Currently this is under “Lost CSU+ Items.” While the workflow may be simmilar, a person who goes to the Confluence space to find out about what to do with Long Overdues will likely not know to click “Lost CSU+ Items.” Let’s have a look through our space, see what we can break out into their own pages and also brainstorm what CSU+ things we do that currently are not documented (chances are that we thought it was, but it isn’t). Once we have a list of things we want to do, we can have an expedition off meeting to revamp the site and generate more content for Tip Bot at the same time.

  • I-SPIE TV: This ties in with the above Confluence space revamp. Do we want to link to recorded videos done for I-SPIE TV on the Confluence space if relevant? For example, Joe G just did a great clip on CSU+ Long Overdues. If we mask the user data we could link to the video on the soon to be created Long Overdues page, or we could even have a place where all pre-recorded I-SPIE TV clips can be linked after patron data is masked, even if the content isn’t really relevant to CSU+. Any thoughts on this? Also, RSFC has a standing offer to provide content for CSU+ You:) on I-SPIE TV. Do we have anything we want to publicize or have an open discussion about on the November I-SPIE TV?

  • Letter’s and hold shelf reminders: The functionality to send additional hold shelf notices has been discovered, but you will need to convince your Fulfillment people to turn it on. The other thing we were interested in with Fulfilment’s letters project was If…Then coding. One idea for this was different notices for ILLiad books. Something like IF Partner = ILLIAD, THEN do something different on notice. Joe G sent Mallory some ideas on this that she forwarded to Kevin. Maybe Joe G gives a summary of those ideas here and then we brainstorm any other type of functionality we would like to see with Alma letters.

  • Webform for Pickup Anywhere functionality: I showed how Alma’s Fulfilment Network (Pickup and Return Anywhere system) works on I-SPIE TV. The moral of the story is that it would be an insane number of added clicks just to allow for something we don’t even know has a high demand. My idea, which I briefly stated on the segment was to use a GES and a webform somehow to do what we want. Let’s talk about this and try to brainstorm logistics of how that would work, any potential problems, etc.

Updates from last RSFC meeting

Joe sent Kevin (Fulfillment) an email about joint meeting to discuss the CSU+ loan terms project regarding loan period, renewals, etc. Joe sent an email to Israel (Tech Services, Resource Management) regarding not checking in long overdue books even if replacing them. Natalya spoke about the clean up job. Keeps the data but we may not able to tell true history of requests because the status becomes Deleted. Most user information is not available at all in the NZ, regardless of anonymization settings. Natalya plans to do the clean up job for Circuit requests. Works on Completed status requests only. More investigation is needed. We’d like to clean up the things we don’t need for stats purposes in ALMA (ILLiad, Circuit).

Natalya, Karla, and Joe tested the Reactivate Request functionality. It wasn’t working properly so Karla is going to submit a case. When you try to duplicate a request, there’s an error when you try to add a partner.

Meghann had her meeting with Zach, but we’ll wait to hear from her.

RSFC Confluence Space Revamp

Joe has had a long-term agenda item to have everyone pay attention to and update/improve the RS Confluence page. Tip-Bot examples and other processes talked about that aren’t reflected on the site. Some things are hidden behind misleading titles. He’d like to make it more readable/user-friendly especially when RS staff have to go to the site for instructions. Guides and Documentation section needs more organization. Karla mentions that she comes to the site when she has a question and ends up Googling it because it’s too hard to find on the site. Could be broken up into larger categories headings that we’ll come up with (action item). Possibly adding I-SPIE TV content.

I-SPIE TV on Confluence

Adding an I-SPIE TV link and storing the pre-recorded clips. CSU+ You is exclusively an RSFC segment. Since Tip-Bot is popular, maybe adding the I-SPIE TV clips would bring more people to the Confluence site. We agreed that we should start storing and linking to these clips so people who missed the show can come back or anyone could return to their favorite bits. Natalya will do an Analytics spot for November I-SPIE TV.

Letters and hold shelf reminders

ALMA hold notice says they requested ILLiad book on the same day it arrives. Very confusing. IF Partner = ILLIAD, Remove requested on date from notice. When change due date it sends them an email saying new due date. This is confusing and causes question. Maybe we can have two IF, THENs. For check out email, IF Partner =ILLIAD, don’t put due date in email. Second, this is for due date change, IF Partner =something [JA will finish this part up] Joe was going to show us where the letters editing section is in ALMA. They were hard to find and he described them a bit.

Webform for Pickup Anywhere functionality

Joe shows and describes General Electronic Services for Primo. We can add links for many different functions - ILL, Ask a Librarian, etc. - when a user opens a record in Primo. Joe wants to make a link that allows a user to request a CSU+ item be delivered to another campus, which would lead to a standardized, central webform. This form would send an email to the borrowing campus, and the borrowing staff would manually create the request for the user. Discussion follows.

Action items

Come up with logical organization for CSU+ Guides and Documentation on the Confluence site.
Try to determine where our knowledge gaps are on the Confluence site.
