Usage data migration options for USTAT campuses during cutover

The Analytics Working Group has discussed timelines and data retention with Ex Libris.  During this discussion, it emerged that the USTAT campuses have two options with regard to usage data.

  • Option 1:  Ex Libris can re-migrate usage data from USTAT to Alma during cutover
    • This option will overwrite all data collected using Alma prior to cutover
    • This option applies to campuses that have continued to use USTAT as their system of record
      • It doesn't matter whether or not these campuses have experimented with usage collection in Alma
    • End result:  the following data will be in Analytics at go live:
      • All USTAT data collected prior to 12/14/2016
      • All USTAT data collected between 12/14/2016 and the second data extraction (TBD)
      • NO data collected using Alma before cutover
  • Option 2:  Ex Libris will retain the usage data currently migrated to, and subsequently harvested by, Alma
    • This option will not bring any additional USTAT data into Alma
    • This option applies to campuses that have completely switched to Alma for usage data harvesting
    • End result:  the following data will be in Analytics at go live:
      • All USTAT data collected prior to 12/14/2016
      • NO USTAT data collected between 12/14/2016 and the second data extraction (TBD)
      • All data collected using Alma since 12/14/2016

Important:  These options are all-or-nothing--you can't keep some January-May data from USTAT and some from Alma, so campuses should choose the option that results in the most complete set.

Also important:  Any SUSHI configuration set up in Alma will be retained; when the scheduled SUSHI harvesting job is enabled post-go-live, the first run will most likely retrieve the last 12 months of reports.  These shouldn't duplicate data migrated from USTAT, and can be manually de-duplicated as necessary, but this may ease concerns regarding data collection during the freeze.

Ex Libris would prefer it if all 13 USTAT campuses chose the same option; however, since the situation has arisen in part because Ex Libris did not provide a specific guideline regarding when campuses needed to stop working in USTAT, they have left the door open to accommodating differing needs.

After discussing the situation with Brandon and David by email and during the Working Groups monthly call, Nikki DeMoville (Unlicensed) sent an email to all ULMS lists on April 21 asking for campuses to contact Karen Schlesser (Unlicensed) and Nikki DeMoville (Unlicensed) by end of business April 28, 2017 with their campus name and choice of Option 1 or Option 2.  The final list choice(s) needs to go to Dolph by the first week of May.
