If data is being pulled from multiple systems (for example, barcode / ID number is not in PeopleSoft already), a one-size-fits-all solution may not be possible, but we can aim for a one-size-fits-most solution that could be adapted by each campus

Could potentially pull data into PeopleSoft from another system (e.g., OneCard system) and put it into a PeopleSoft table

Scope of patron information:

  • Libraries are currently gathering minimally required fields and will provide to CO (will be provided from Systems 3rd Party Integration Survey; due from campuses mid-January)
  • Need student, staff, faculty, extraneous users (e.g., guests, volunteers) in PeopleSoft

How did Alma PeopleSoft integration work at San Marcos?

  • CampusIT has a datastore outside PeopleSoft that they export to on a regular basis.  The data the library receives is pulled from the intermediary data store.  San Marcos was already using the intermediary datastore for reporting purposes before the Alma integration.

Financials Integration

  • Alma has a way of exporting financial data (invoice, etc.) to a place where PeopleSoft can pick it up
  • How this works will have to go through a governance committee on the campus financial side
  • Need requirements to be sent to CO financial governance
  • Would need to come from a campus
  • San Marcos:
    • Financials / Invoice Integration
      • With Alma, invoice data is being sent electronically and matching on correct vendor information on the PeopleSoft.  Working with Campus IT and Accounts Payable.
      • Alma exports XML; campus programmers convert to CSV; campus IT is coordinating the programming and ingest to PeopleSoft
      • Once the invoice goes into PeopleSoft, would like to receive an acknowledgement that the account has been paid
    • Second project to do with CashNet to enable payment of fines and fees.  Currently in the planning phase
      • Typically fines / fees are put on the student account in PeopleSoft, which then gets pushed to CashNet; accounting doesn't happen in CashNet

Timeline:

  • Will send requirements for patron extract by February 2016
    • Provide list of fields / data needed from PeopleSoft and a short description of how the data should appear
    • Provide spec of how data needs to be formatted for Alma ingest
  • Would like to aim for testing integration with Vanguard campuses in 2016 (will need to work together to determine delivery schedule

How to include the campus staff?

  • Make sure campus staff is informed of all the requirements before sharing with CO, especially for Vanguard campuses

Deliverable:

  • Could be CO-provided cloud process that pulls the data from each campus; OR each campus could implement custom solution based on the CO process if custom data is needed
