Digital Repositories Update - January & February 2021

Here’s the latest on our various digital library projects.

Digital Repositories Meeting

Do you have a repository-related project that you are proud of? Or repository-related research? Or a scholarly communication project that you think other CSU practitioners would like to know about? If so, please submit a proposal for the CSU 2021 Digital Repositories Annual Meeting.

The Digital Repositories Committee is pleased to open the call for proposals for the 2021 annual meeting. Hosted via Zoom by Fresno, we want to showcase the work being done at our campuses.

Please hold July 13-14, 2021, for the meeting.  And please submit your proposal by the end of business on March 15th.

ScholarWorks

Development

ScholarWorks records are now being harvested weekly into Primo.  The records will not show-up in your campus’ OneSearch results by default, however.  Rather, libraries will need to configure Primo to include their campus’ ScholarWorks records and, optionally, all ScholarWorks records in various search scopes.  Directions for doing that are available on Confluence, and we’ll be going over this process at a future Discovery open forum.

Through January and February, we completed initial testing on the SWORD service.  We’ll soon be meeting with those campuses using Proquest ETD Manager to switch over to depositing new submissions into Hyrax, and will complete that same process with Northridge and their campus ETD management system.

Bryan has been busy exploring a number of customizations to submission form behavior, including composite author fields -- to support email, institution, and an ORCID identifier for each author in addition to their name --  as well as basic text-formatting for the abstract field, and a date-picker for date fields.  More on that soon.

Data migration

Now that we’ve completed the initial data load for all campuses, we’ve begun a number of record auditing tasks to ensure all records and files from DSpace that were slotted to migrate to the new ScholarWorks have been successfully migrated.

That work will continue over the next couple of months, and David will be reaching out to each campus individually with detailed reports and timelines.

Digital Repositories Committee

The DRC has been focused on planning this summer’s annual meeting, revising the ScholarWorks deposit agreement, reviewing various change and withdrawl procedures, and fleshing-out documentation.

Digital Archives Working Group 

After some feedback from those who have already worked on the DAMS self-evaluation, DAWG decided to add more instructions and examples before sending it out widely (more soon!)

The group has also been working on a set of resources and some baseline guidelines for digital preservation that could be useful across the CSU. They will be building out some more context around the various resources available, and how they can be applied.

Metadata Working Group

The MWG has been engaged in an analysis of how types and genres terms have been historically used in DSpace & ScholarWorks, as well as reviewing how other institutional repositories handle these fields.

The group has also worked on a file naming convention and a forthcoming recommendation on the number and scope of work forms for ScholarWorks. 

Publishing

As of February 26, 218 APC (article publishing charge) waivers have been approved through the Elsevier OA pilot. As questions come up, FAQs will continue to be added to the Confluence documentation page, and the pilot administrators for each campus have been invited to attend one of two train-the-trainer sessions in March.
