Project Management

  • Summer Meeting August 13-14
    • May 31 is the deadline for Deans and Library Contacts to submit registrations for the meeting. After that date available space will be filled by those campuses who have requested additional seats.
    • Topical agenda has been shared with the campuses. CSU presenters are being determined by each functional committee and will be finalized prior to the event.
  • ELUNA 2018 was attended by more than 60 CSU faculty and staff
    • By all accounts the largest ELUNA conference to date.
    • From the CO, Brandon led a panel discussion on consortial life in Alma & Primo and Marcus delivered a presentation on issues he’s been working on with resource management in the Network Zone.
    • Many campus faculty and staff presented on variety of topics, and all presentation materials may be found on the ELUNA Sched site.
  • Brandon, Jessica, Marcus and Stacy from San Bernardino met with Ex Libris support and product management regarding issues pertaining to Content.
    • We will follow up with Ex Libris executives at a meeting tentatively scheduled for late June on these and related support topics.
    • Brandon will reach out to those of you who work in SalesForce for your feedback in working with Ex LIbraries support through SalesForce to help seed this discussion.

Analytics

Working Group

  • Several campuses have no usage data at all in Analytics
    • Some campuses are still setting up collections, POLs, and general Alma data and infrastructure, aren’t at the point yet where they can set up SUSHI or usage data infrastructure, or may not know their account information or how to get started.
    • SDLC will help in reaching out to vendors for admin login help on behalf of all.  Ying Liu is working to get admin user names, URLs, and technical contacts that we can share out to campuses.
    • ERM/usage stats contact for each campus still needed.
  • Looking at standardizing reporting codes and item types - campuses are using these in different ways. This would help with ACRL reports and other systemwide comparisons/reports. Will work with AcqERM working group to see if their records are a good place to start.
    • Determined that the customizable reporting codes are best left to campus discretion
    • Will look more closely at use of existing standard fields in Alma
  • ELUNA SWIG working on evidence document to outline issues that Alma/Primo/Leganto users are experiencing. Ex Libris expressed commitment to moving issues forward and discussed plans for how to move forward.

Resource Management

Chancellor’s Office

  • NZ database maintenance testing, focused on boundwiths
    • Exlibris development clarified appropriate parameters of the job, Identify records not used in Network
    • Preliminary testing on two campus’ boundwiths confirmed that the job with the correct parameters does identify boundwiths as in use. Further testing of all CSU boundwiths confirms this finding.

Working Group

  • For boundwith titles, changing the name of the intermediary host bibliographic records
    • Currently these records are called “Host bibliographic record for boundwith item barcode 30700112112940” which may confuse users are looking at their checked-out items in Primo.
    • Will most likely be changed to “Multiple titles bound as a single volume with the barcode...”
    • Pending confirmation from RM group, will send documentation on how to batch change these titles
  • In collaboration with Discovery, working on display of 5xx Marc fields in Primo
    • Currently, all 5xx fields display in the “Description” section of Primo, which can result in cluttered, busy display especially for movies which tend to have many notes
    • Plan to separate out certain 5xx fields into individual “sections”
      • Example: 505 displays as “Contents”, 520 displays as “Summary”
    • Current plans are to select a few 5xx fields for Summer Primo renorm as a pilot program
  • In collaboration with Acq/ERM, formation of Alma monthly release testing group
    • Focus on new features and fixes related to Technical Services (acquisitions, cataloging, electronic resource management)
    • Currently performing preliminary testing of Alma May and June 2018 monthly releases

Acquisitions & ERM

Chancellor’s Office

  • Investigating implementation of JSTOR DDA e-book.
    • EAR sub-committee approved the e-book pilot program and choose JSTOR
    • CO Team worked with EAR, SDLC, and JSTOR to investigate doing the program in the Alma NZ
    • Waiting for one last piece of information from JSTOR (do they provide order records?) but the program will be implemented in the NZ and shared by all libraries.
      • Program runs from June 2018-June 2019
  • Tested EBOOK Central Autoload new functionality from the Alma March 2018 monthly release
    • Function allows the EBOOK Central e-collection to be automatically update
    • Function works in the Alma sandbox but not on the Alma Production server
      • Will be fixed in the June 2018 Alma Monthly Release
  • Updated EBOOK Central DDA e-collection in the NZ
    • ProQuest migrated the MyiLibrary e-books to ProQuest EBOOK Central
    • Migrated the MyiLibrary e-books into the ProQuest EBOOK Central e-collection in Alma.
      • All former SDLC ECC DDA e-books have been migrated into ProQuest EBOOK Central DDA e-collection
  • Nexis Universe linking issues resolved at the end of May 2018
    • Linking from Primo to Nexis Universe has not been working due to an authentication change at Lexis.  Ex Libris has been working with Lexis to resolve issue
    • Kept both old Lexis/Nexis Academic e-collection active in the NZ since Nexis Universe e-collection has not been functional while vendors work on authentication issue

Working Group

  • EDI Invoicing Problem with YBP/GOBI Invoices
    • ACQ/ERM committee has been working with the CO team, SDLC and EBSCO to fix an invoicing issue with YBP invoices not mapping certain fields correctly in Alma
    • Ex Libris Development has completed an initial assessment of this defect and it is targeted to be resolved by Q3 2018.
  • Working with the Resource Management committee on the formation of the Alma monthly release testing group
    • Test new acquisitions and electronic functions released in the Alma monthly release
    • ACQ/ERM tested new Moving Portfolios function from the Alma May 2018 Monthly Release
    • New function allows Alma user to move portfolios from one collection to another
    • ACQ/ERM presented how to use the took in the May 10th, Tech Services Open Forum
  • Single e-book purchase workflow
    • Presented the various types of workflow for purchasing single e-books in Technical Services Open Forum
    • Created procedures and posted to the ULMS wiki
  • Updated NZ Opt-in Ordering procedures
    • Updated the procedures for ordering Opt-in e-collections allowing users to create a link to the resource so it appears in Primo and add previous order records to current order
  • Asked Technical Services to fill out form for GOBI API issues
    • Reported results to poll during Tech Service Open Forum
    • Several issues with using GOBI API reported
      • No alert when invoice didn’t load
      • Approval records come in before order records
      • There are full (better) records available so don’t use GOBI API selected record
  • Discussed ERM and acquisitions topics for the August 2018 Ex Libris Training
    • Agreed on topics for ERM and acquisitions training

Resource Sharing

Chancellor’s Office

  • Testing new Resource Sharing configurations to filter out requests we can’t fill via Alma before they’re sent.
  • Reaching out to other consortia currently evaluating Tipasa alternatives.
  • Running analytics reports to determine the best way to report on money exchanged for lost CSU+ items
  • Troubleshooting day to day resource sharing issues in Alma
  • Advising campuses on how to handle CSU+ borrowing and lending during summer renovations, moves, etc.
  • Developing and figuring out how to disseminate reports to support regular resource sharing tasks - identifying long overdue items, items potentially lost in transit and others.

Working Group

  • Fine tuning ULMS summer training topics and selecting presenters
  • Analyzing local fine and fee processing to inform best practice recommendations for lost CSU+ item replacement
  • Planning another open forum June 1
  • RS/Analytics task force working on creating a dashboard from existing community reports to measure system effectiveness.

Fulfillment

Chancellor’s Office

  • Facilitating cross functional group discussions between Fulfillment and Resource Sharing Committees to ensure both perspectives are considered as more best practices are researched and documented.
  • Collecting scenarios to use for fulfillment analytics training at the ULMS Summer Meeting.

Working Group

  • Planning next open forum for May 30th -- ELUNA debrief
  • Discussion of new CSU+ loan period and concerns about how it may affect local circulation -- established the need for making evidence-based decisions wherever possible. Discussed options for handling items or media collections in with high local demand and how solutions can be recommended.
  • In the beginning stages of creating analytics dashboards to assist with year end reporting of fulfillment statistics.

Discovery

Chancellor’s Office

  • CO and Norm Rules Taskforce working on first summer renorm, including
    • Turning off FRBR
    • Better mapping for notes
    • Resource-type clean-up
  • Wrapping up new features in the Central Package – including Google Analytics, SMS, and report a problem.

Working Group

  • Looking for volunteers to lead Summer training session.  If you have experience with harvesting records, let us know.
  • Looking for feedback on any Back Office features for which you’d like Ex Libris to provide training.  Also let us know.
  • The May Primo release was installed on Sandbox on May 20.  We anticipate its installation on production on June 17.  Highlights include:
    • Open access identifier and limit
    • Newspaper scope
    • Fuzzy search logic for resource recommender
