Recommended Workflows for CSU+ items damaged by CSU+ patrons:

  • Normal wear and tear: We recommend that you abide by the normal policy of your campus in dealing with normal shelf wear
  • Damaged items: For items damaged by patrons, the RSFC suggests the following guidelines to create consistent communication and practice while allowing for centralized analytics on damaged items.

Borrowing library:

Update request status to damaged & notify lending library

  1. Delete loan from patron’s circulation record (Delete, not Return)
  2. Open the borrowing request and select edit
  3. Change the request status to “report damaged item to partner”
  4. Send the lending library a General Message indicating the damage and date of return.

Physically ship the item back

  1. Make note on the book-band of the damaged item
  2. Return through Tricor

Important: Do not check the item in or ship it in Alma - this will remove the damaged status in the borrowing request which is how we are collecting statistics on CSU+ items damaged by patrons

We recommend abiding by the policy at your campus regarding replacement fines or patron accountability. If your library substitutes replacement copies for replacement fines, please refer to the list of campuses that accept replacement items.

Lending library:

Will be notified of damage and follow their own replacement practices

  1. Will receive and can acknowledge the general message
  2. Proceed with normal return and item replacement procedure - knowing analytics is captured by the steps from the borrower

Please utilize the practices in places at your campus when for updating the record and/or evaluating replacement. If you accept replacement copies please support the borrowing library as they coordinate this with their patrons.that have been damaged are being revised. Please contact one of the RSFC members for instructions on how to proceed.
