SFX Clean-up for ALMA Migration

There should not be too much cleanup necessary but an SFX team member at each library received an Incomplete Activation report which lists what needs to be cleaned up. 

Also I suggest looking at the lists of Merged Targets / Shared Resources and seeing if anything needs to be unmerged or merged.

Local SFX Instances

  1. Run the Incomplete Activation Report
    This report identifies cases where a Resource is only partially activated (for example the Target is active but the Service and Portfolio are not). If you are unsure how to run this report contact Jessica Hartwigsen.

  2. Ensure all elements of a Resource (Target, Service and Portfolio) are either Active or Inactive:
    • If a Full Text Target is migrating to Alma all elements should be active in SFX.
    • If a Full Text Target is not migrating to Alma all elements should be inactive in SFX.
  3. If you have imported records for print materials from Sierra, Millennium or Voyager into your SFX instance, ensure the Target Service is listed as GetHolding (not GetFullTxt). This will correctly prevent the print resource from migrating to Alma as an Electronic Resource.

Note: Local SFX resources will migrate to the Institution Zone

Shared/Centrally Managed SFX Instance

  1. Look at the current list of Merged Targets.

  2. Do all the items listed in your institution’s column reflect all the ECC and Opt-in resources your institution subscribes to?

Yes: Great! There is nothing else you need to do.

No:

  • Identify the resources your institution currently subscribes to AND are listed in the Chancellor’s Office column of the merged targets list, but ARE NOT listed under your institution’s column.
  • Identify resources that your institution no longer subscribes to, but are still listed on the merged targets list in your institution’s column.
  • Send a list of these items to Jessica Hartwigsen. She will merge and un-merge resources as appropriate, based on your list.

Note: Shared SFX resources will migrate to the Network Zone.

 

SFX vs. ILS data in the final load

If there is a portfolio available in SFX and your ILS, you should exclude the ILS electronic version of that title from your data extract.  You should only ONLY migrate the physical version of that title.  These titles should be left off of your P2E migration form.  Only include electronic titles in the P2E migration form that are not NOT in SFX.

If your library imported ILS records into SFX ,  please do not migrate these records.  If the target is a getFullTxt target in SFX , just before migration, deactivate the target or targets so that just before migration so they do not migrate to Alma.

The only case where you will migrate records from your ILS that are available in SFX is if:

You are migrating acquisitions data andand there is an order record attached to the ILS version of the title

In this exceptional case, you will see duplicates in Alma for records that exist in both SFX and your ILS that have an order record attached.  In Alma, you should only see duplicate records that represent ILS records that have an order record attachedof these particular records. You should not see duplicate records of any other type
