(warning) Bonus tip:  most campuses can use Available for Group as an easier-to-remember alternative, but campuses such as Chico (CSUC) and Sacramento (CSUS) will need to use Available for Group Members so they can search on their unique campus code; if these campuses search on group name, Analytics will return results that incorrectly include similar campus codes (e.g. CSUC also returns CSUCI and CSUS also returns CSUSB and CSUSM).

How do I set up SUSHI for American Mathematical Society?

Use the following values:

  • SUSHI Account: American Mathematical Society
  • Vendor URL (Books & Journals): http://<username>:<password>@www.ams.org/SushiService/BookAndJournalStats
    • Important: Replace the hyphen in your username with an asterisk (e.g. "CAPOSU-934" needs to be entered as "CAPOSU*934")
  • Vendor URL (MathSciNet): https://<username>:<password>@mathscinet.ams.org/SushiService/MathSciNetStats
    • Important: Replace the hyphen in your username with an asterisk (e.g. "CAPOSU-934" needs to be entered as "CAPOSU*934")
    • Also important: Note that the URL for MathSciNet stats is secure (HTTPS). The non-secure (HTTP) version will not work.
  • Requester ID: Put your password here
  • Customer ID: Put your username here, again replacing the hyphen with an asterisk

How do I set up SUSHI for Silverchair-hosted vendors (e.g. AMA, ASME, Duke, GeoScienceWorld)

Log into the Sitemaster admin page and select the COUNTER reports tab.  Scroll to the bottom and click on the "How do I use SUSHI to generate COUNTER reports?" link.  Enter your Requestor ID, Customer ID, and password as indicated (note that the password you used to log into Sitemaster goes in the Requester Email field).

  • Note 1:  Your Sitemaster password can apparently change or expire without notice, and you must contact support in order to reset it.  If your password is no longer valid, your SUSHI harvests will fail.
  • Note 2:  Alma sometimes "sticks" when updating SUSHI account information.  You may need to try more than once and/or log out and back into Alma to retain the changes.  If SUSHI harvests still give an error after updating account information, use Test Connection with Response to see what information Alma is actually sending to the vendor.
How do I sort by call # in an Analysis?Add the Normalized Call Number to your analysis.  Click on the menu to sort.  You can hide the column using Column Properties > Column Format if you don't want to see it in your report.
I got timed out in Analytics and now it's broken.

First, remember to go back to Alma periodically and click on something to keep your Alma session active.

If your session times out anyway (i.e. you get no results, you can't get back to the criteria tab, you get the endless spinning wheel or blinking dot icons), do the following:

  1. Go to the upper right corner and sign out of Analytics
  2. Look at the message in the middle of the screen and click on the tiny "here" link in "To sign in again, click here."
  3. Close the tab (don't actually try to sign in from this screen)
  4. Go back to Alma and go back to Analytics in the normal way through the Design Analytics menu item

If you closed the tab on Analytics and try to go back, and all you get is the sign-in tab, close that sign-in tab and try again–it will usually work the second time.

Note:  As of 12/24/2017, Ex Libris has accepted (i.e. moved to "Planned" status) the following from the Idea Exchange:  "Extend time before analytics times out."

I want to turn my Analytics report into a set in Alma

As of May 2018:  Alma now has the capability to create a set directly from an Analytics report.  Details here.

  1. Create the Analytics report that meets your needs
  2. Be sure to include Bibliographic Details.MMS Id as a field
  3. Export the report as Excel 2007+
  4. Remove all columns except MMS Id and save the spreadsheet
  5. Go to Manage Sets in Alma and click Add Set.  Choose Itemized
  6. Fill in the required fields, then use the Add Contents from File to Set area to browse to your saved spreadsheet
  7. Click Save
  8. When Alma finishes creating the set, it will send you an email.
I want to turn my set in Alma into an Analytics report

If you have a list of numbers (example: barcodes or MMS ID’s) from an Excel spreadsheet and you want to use them to filter an Analytics report, follow these steps (thanks to Marcus Jun for this tip):

  1. In your Analytics report, add the data field and filter by it.
  2. Click the binoculars icon and then the pencil icon.
  3. Paste your list of numbers from Excel into the Edit window.
  4. Click OK several times and your numbers will be separated by semicolons automatically.
    1. There is a limit to filter size (fairly large, at least 1,000 items), so check the last entry in the filter to be sure all of your values were included.  If any are missing, or you see a partial value at the end, you may need to split your list into two or more groups.
    2. If you need to do this, just keep creating filters until you've included all of your data, then click each AND that separates them to turn it into an OR
  5. Continue creating your analysis by dragging in any other data you need to include
  6. Click the results tab to see the resulting analysis.

Why am I seeing electronic titles in a report in the Physical Items Subject area?This can be a result of only selecting details from a shared dimension (e.g., Bibliographic Details) in your report.
Why do I get different results when I run the same report in Fulfillment and Physical Items?

The Fulfillment Subject Area contains information on loans in Alma; its primary key is ITEM_LOAN_ID.  Reports run in Fulfillment will contain only data on loans that occurred since go-live plus limited detail on the last loan prior to migration.  Items with zero loans will not appear in Fulfillment reports.

The Physical Items Subject Area contains data related to items in Alma; its primary key is ITEM_ID.  Reports run in Physical Items contain details about specific physical items regardless of whether those items have circulated in Alma or in legacy systems.

Important:  Fulfillment measures (e.g. Loans, Returns, Recalls, Renewals) reliably report only loan data after migrationPhysical Items Num of Loans measures contain total loan data before and after migration.

Migration note:  Mapping may vary by campus, but in general Total Circulation from legacy systems mapped to Physical Items Num of Loans.  Last Loan Date mapped to Physical Items Last Loan Date and Fulfillment Loan Date.  In Alma, each Loan is associated with a Loan Date, but it is probable that the legacy system only retained a single Last Loan Date for mapping.  Be very careful with Loan Date filters in Fulfillment Reports as filtering for dates prior to migration will result in inaccurate reports--only one loan (the one associated with the last loan date) can be reported.

Which report should you use?  If you need detailed fulfillment data about current processes, including Borrower or Operator details or filtering by date, use Fulfillment.  If you need complete or historical loan data or items that have never circulated (e.g. for weeding), use Physical Items.
